Workflow Automation for Accounting Firms
Remove billing lag, manual onboarding steps, and seasonal chase-up admin from your practice without replacing Xero, XPM, or MYOB. Map the workflow first, then automate the repeatable steps.

Use this when admin eats fee-earner hours
New client onboarding still requires manual copying between your intake form, Xero, your practice tool, and your engagement letter.
Billing runs in batches because invoices are created when someone remembers to check completed jobs, not when jobs complete.
BAS season and EOFY create a workload spike because document collection and client chasing are still manual.
Partners are drafting and chasing signed letters by email while the next job is already in progress.
Where accounting admin costs fee-earner time
New client details are entered manually into three or four systems: intake form, Xero contact, practice tool job, and billing profile.
Work sits unbilled for weeks because someone has to remember to invoice. The invoice does not start when the job is done.
Debtor follow-up depends on someone looking at the aged debtors report and sending a chase email.
EOFY and BAS periods are a workload spike because document collection, lodgement tracking, and client chasing are ad hoc.
What can change for an accounting practice
New client details flow from the intake form to Xero and the engagement letter without re-entry. Where your practice tool can be connected, they flow there too.
Invoice drafts appear in Xero when a job completes, not at month-end batch.
Payment reminders can run on a schedule you agree. Nobody has to start them.
BAS and EOFY document requests go out on a defined schedule, not when someone remembers.

Free conversation, then audit if it is worth it
The free conversation checks whether there is enough volume, and a steady pattern, to justify a paid Workflow Audit. The Workflow Audit maps what actually happens, including the manual steps that do not appear in the official process.

Start with client onboarding, not billing
Client onboarding can be a useful first candidate when its steps are repeatable. We assess the actual process and agree the scope before starting.

Build on Xero and the tools you already use
Zapier or Make can join Xero, the intake form, and the task tool. You do not have to change systems. For XPM and MYOB we check what can be connected first. Odd cases go to a person.
When a practice should not automate yet
Do not start an accounting firm automation project if billing rules vary by partner and nobody has written them down. Automating ad hoc billing locks in the mess. Also wait if you are switching practice tools. And if Karbon Billing or Practice Ignition already covers the workflow, you may not need a build.

Accounting firm automation questions
Which accounting tools do you work with?
Common Australian practice tools include Xero, Xero Practice Manager (XPM), MYOB, FYI, and Ignition. Zapier or Make can connect Xero, intake forms, task tools and email. Before proposing a build, we check what XPM, MYOB, FYI and Ignition support. None of them needs replacing.
Do we need to replace our practice tool?
No. The connections work around your current tools. If you are on XPM, Karbon, or MYOB, we check what can be connected rather than replacing them. Moving platforms is a separate choice. It is not required for workflow automation.
Where should an accounting firm start?
Client onboarding is a common first build for accounting practices. It is more repeatable than billing, which often has each partner's own rules, and it fixes the data problem that makes billing automation harder. We check which workflow fits your practice. A Workflow Audit can help when the order is unclear.
What is the difference between this and using Karbon or Practice Ignition in the tool?
If you already use Karbon Billing or Practice Ignition and they cover the workflow in the tool, you may not need a connector at all. Those platforms are made for an accounting practice. The Workflow Audit checks whether your tools already solve the problem, or whether a build would add something they cannot.
What does it cost?
We propose the Workflow Audit in writing after the free conversation. The scope depends on your tools, your team and the odd cases in your billing or onboarding. The build is proposed in writing after the work is understood. A Workflow Audit may be useful when the process is complex.
Why start with onboarding instead of billing?
Billing automation often meets each partner's own exceptions: different rates, chase choices, and scope-creep limits. Onboarding is often the same each time, so it is easier to repeat. We check whether your practice has made billing the same enough to automate it first.
